CRM and PSA are two of the most common types of business software we build, and they are often confused. Both keep track of customers. Both have dashboards. But they solve different problems, and choosing the wrong one wastes money.
CRM: for selling
A CRM (Customer Relationship Management) system is about getting customers. It stores leads, records every call and message, reminds your team to follow up, and turns an enquiry into a quote and then an order. If your main question is "how do we close more deals?", you need a CRM.
PSA: for delivering
A PSA (Professional Services Automation) system is about delivering work after the sale. It tracks projects, tasks, time spent, who is working on what, and what to bill the client. Agencies, consultants and IT companies use it. If your main question is "are our projects on time and profitable?", you need a PSA.
Can you have both?
Yes, and many service companies do. The CRM handles the customer until the deal is signed; the PSA takes over from there. We usually build them as two modules on one system, so customer data flows from sales to delivery without anyone typing it twice.
How to decide
Ask where your biggest problem is right now. Missed follow-ups and lost enquiries: start with CRM. Late projects and unbilled hours: start with PSA. Not sure? Call us — a 20-minute conversation is usually enough to tell.
